Job Description

As a customer services officer at DHL, you will be responsible for ensuring service excellence by managing customer interactions, processing orders, handling queries, and maintaining stock and pricing accuracy. You will serve as a key liaison between key account managers, clients, and business partners.

Key Responsibilities

Order Management

  • Process all daily orders received before 15:30.
  • Handle late orders (received after 15:30) for next-day processing.
  • Manage order changes, pricing issues, and pallet configurations.
  • Save and refresh orders on SAP and resolve EDI rejections.

Query Handling

  • Respond to customer queries via email and phone before 17:00.
  • Maintain constant communication with customers while awaiting updates.
  • Work with the customer service supervisor to resolve critical issues.

Stock Management

  • Oversee stock allocation to ensure order fulfillment.
  • Coordinate urgent deliveries and stock availability.
  • Manage the cut authorization process effectively.

Pricing & Returns

  • Escalate pricing variances to key account managers.
  • Process order returns with correct reason codes.

Reporting

  • Prepare daily and weekly reports, including:
    • VA05 reports
    • Daily order analysis
    • Strike rate reports
    • ZOO reports
    • PnP and Makro weekly reports
    • Smollans reports (every Friday)

Ideal Candidate – Skills & Requirements

Minimum Qualifications

  • 2-3 years of experience in customer service, warehousing, or logistics.
  • Proficiency in SAP, Excel, and Word.
